1. Introduction
Memory Scan, Inc. ("Memory Scan," "we," "us," or "our") respects your privacy and is committed to explaining how personal information is collected, used, stored, and disclosed through the Memory Scan mobile application, website, and related services.
Memory Scan provides a system that associates physical items with unique barcode or QR code labels known as Memory Strips. The system supports controlled device authorization, authorized scanning, transfer of authorization, and a history of authorized activity associated with an item.
This Privacy Policy explains our information practices when you use our website, mobile application, Memory Strips, and related services.
By using our services, you acknowledge that you have read this Privacy Policy. Where consent is legally required, we will request it separately.
2. Information we collect
The information we collect depends on how you use Memory Scan and the features you access.
A. Account and registration information
When you register for the Memory Scan application, you may provide information such as:
- Your name or username.
- Your phone number.
- Other information requested during registration.
We use this information to support account registration, identify registered users within the system, and associate authorized activity with the appropriate user where supported by the app.
B. Memory Strip and scan activity information
Memory Scan is built around scanning a Memory Strip label and recording that activity in the strip's history. In the course of providing that functionality, we may collect:
- Scan event details — the date and time of the scan and the registered user's name or phone number associated with the activity.
- Scan address — the address associated with where the scan took place, as recorded by the app or supplied by the user.
- Scan notes — optional notes entered during a scan, which may include a password or verification phrase that the user can check during a later scan to help identify possible Memory Strip replacement.
- Transfer records — information about completed transfers of authorization, including the Memory Strip involved and when the transfer occurred.
C. Contact and request information
When you submit the "Request Memory Strips" or "Request a Demo" forms on this website, we collect the name, email address, company, and any message details you provide, so we can respond to your request.
D. Device and usage information
To operate the app reliably and keep the device-authorization system secure, we may collect limited technical information associated with a device used to scan or manage a Memory Strip, such as a device identifier used to establish or recognize the authorized device for a strip. We do not require this information to include your name or contact details.
3. How we use information
We use the information described above to:
- Operate the core functionality of Memory Scan — recording scans, establishing and changing the authorized device for a Memory Strip, and maintaining a strip's scan-and-transfer history.
- Let a user review notes (including a previously entered password or verification phrase) during a later scan, to help the user judge whether a strip may have been replaced.
- Respond to requests submitted through the website, such as a Memory Strips order request or a demo request.
- Maintain the security and integrity of the service, including investigating suspected misuse of the authorized-device or transfer-credential system.
- Communicate with registered users and business contacts about their account, requests, or the service.
- Comply with applicable law and respond to lawful requests from public authorities.
We do not use the information described above for third-party advertising, and we do not sell personal information.
4. Storage & security
Scan records, notes, and transfer history are stored so that they can be retrieved by an authorized device during a later scan. Website form submissions (Memory Strips requests and demo requests) are delivered by email via a third-party form-delivery provider to our business inbox.
We use administrative and technical safeguards appropriate to the sensitivity of the information involved, including restricting access to scan and account records to what is needed to operate the authorized-device and transfer-credential system. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
5. Sharing of information
We do not sell personal information. We may share information:
- With the devices and registered users who are legitimately part of a strip's authorized scan-and-transfer history (for example, so an authorized device can view that history).
- With service providers who help us operate the website and app — for example, our form-delivery provider for request-form submissions, and our hosting and infrastructure providers.
- If required to do so by law, legal process, or to protect the rights, property, or safety of Memory Scan, our users, or others.
- In connection with a business transaction such as a merger, financing, or acquisition, subject to applicable law.
6. Retention
We retain scan, transfer, and notes history for as long as needed to provide the strip's traceable history and to support the purposes described in this policy, unless a longer period is required by law. Website request-form submissions are retained in our business email as needed to respond to and track the request. If you close your account, we will delete or de-identify your registration information within a reasonable period, except where retention is required to resolve disputes, enforce our agreements, or comply with law.
7. Your privacy choices
Depending on your location and applicable law, you may have rights to request access to, correction of, or deletion of your personal information, or to object to certain uses. You can also choose what you enter into a scan's notes field — for example, avoid entering sensitive personal details beyond what's needed for your own verification phrase.
To make a privacy request, contact us using the details in the "Contact us" section below. We will respond to verifiable requests within the time required by applicable law.
8. Children's privacy
Memory Scan is intended for business and personal use by adults managing physical items. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will take steps to delete it.
9. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last Updated" date above and, where appropriate, provide additional notice to registered users. Your continued use of Memory Scan after a change becomes effective constitutes acceptance of the revised policy.
